Privacy Policy

Effective 29 September 2026. This policy explains how SUMn Pty Ltd (ACN 702 770 474, ABN 25 702 770 474) handles personal information.

Our approach

We collect as little personal information as we need to sell, license and support SUMn. We handle it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Most importantly: alerts, responses and assistance requests stay on your own network. They travel directly between your SUMn computers and are never sent to us.

What we collect

When you buy SUMn or contact us

• your name, organisation, email address and billing details;

• your order history, subscription status and tax invoices; and

• anything you tell us in emails or through the contact form.

Card payments are handled by our online store and payment processor. We do not see or store your full card number.

From the SUMn software

When SUMn is activated, and about once a week after that, it sends our licence server:

• the licence key and the registered site name;

• the station name you gave that computer (for example “Reception 1”);

• a random identifier created when SUMn was installed; and

• the internet (IP) address the check came from, which our server records.

Please use role or room names for stations, not people's names. SUMn does not collect names of staff, patients, clients or visitors, and does not record screen contents, keystrokes or location beyond the site.

On each computer, SUMn stores its settings and licence in the Windows user profile. That information stays on the computer.

From our website

Our website runs on Squarespace, which uses cookies and similar technologies to operate the site and store, and to give us statistics about visits (such as pages viewed and approximate location). You can control cookies in your browser settings.

Why we use it

• to process orders, issue and renew licence keys, and send tax invoices;

• to check that each licence is valid and used at the site it was issued for;

• to provide support and tell you about updates, changes to our terms, and problems with your subscription;

• to keep our systems secure and prevent misuse; and

• to meet our legal obligations, including tax record-keeping.

We do not sell personal information and we do not use it for advertising. We only send marketing emails if you ask for them, and every marketing email lets you unsubscribe.

Who we share it with

We share personal information only with service providers who help us run SUMn, and only as far as they need it:

• Squarespace, for our website, online store and customer accounts;

• our payment processors, including Stripe, to take payments;

• our email provider, to deliver licence keys, invoices and support replies; and

• our accountants and professional advisers.

Some of these providers store information outside Australia, including in the United States and the European Union. We take reasonable steps to make sure they protect it. We may also disclose information where the law requires or allows it.

How we store and protect it

Licence records are held on our licence server in Australia, and order records in our online store. Access is limited to people who need it, protected by passwords, and logged. Connections from SUMn to our server are encrypted.

We keep order and tax records for at least five years, as tax law requires. Licence and check-in records are kept while your licence is active and for up to two years after it ends, then deleted or de-identified.

If a data breach is likely to cause serious harm, we will tell the people affected and, where required, the Office of the Australian Information Commissioner.

Access, correction and complaints

You can ask to see or correct the personal information we hold about you by emailing support@sumn.com.au. We will respond within 30 days.

If you have a concern about how we have handled your information, please email us first and we will try to resolve it within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

We may update this policy. The version on this page applies from the date shown at the top.
